Moving Company Quote Checklist: 10 Questions

A low moving quote can feel like a win right up until move day. Then the truck arrives late, the crew is too small, the clock starts running, and surprise charges show up when you are already packed and under pressure. This moving company quote checklist helps Atlanta renters, homeowners, and businesses compare movers the smart way: by looking at what the price actually includes.

The goal is not to chase the lowest number on a screen. The goal is to hire a crew that arrives ready to work, protects your belongings, communicates clearly, and finishes the job without turning your move into a budget-busting mess.

Start With an Apples-to-Apples Moving Quote

A quote is only useful when every company is pricing the same job. If one mover is told you have a one-bedroom apartment and another is told about the storage unit, elevator, and oversized sectional, their prices cannot be fairly compared.

Before requesting estimates, give each company the same details: pickup and delivery addresses, move date, home size, number of rooms, stairs, elevator access, long carries, large or fragile items, and any stops in between. For an office move, include desks, filing cabinets, IT equipment, disassembly needs, building restrictions, and the deadline for being operational again.

Be straight about the work. A good moving company can plan for a difficult job. What slows everything down is finding out on move day that there are three flights of stairs, a narrow hallway, or 40 extra boxes that were never mentioned.

Your Moving Company Quote Checklist

1. Is the price hourly, flat-rate, or based on weight?

Ask how the company calculates the estimate. Most local Atlanta moves are priced by the hour, while long-distance moves may be priced by shipment weight, distance, or a binding estimate. None of these methods is automatically better. What matters is knowing the rules before you book.

For an hourly move, ask for the hourly rate, the minimum number of hours, and how time is tracked. Does the clock begin when the crew leaves the office, when they arrive at your home, or when loading starts? Is travel time charged once or twice? A company should answer these questions without dodging them.

A flat rate can provide certainty when the inventory and access conditions are clear. But if the quote is based on incomplete information, a flat rate may come with exclusions that cost you later. Read the scope of work, not just the bold number.

2. What exactly is included in the quote?

A professional estimate should spell out the crew size, truck, labor, fuel or travel charges, basic equipment, and expected service window. If packing, furniture assembly, or specialty handling is included, get that in writing too.

Do not assume every mover provides the same materials. Ask whether moving blankets, shrink wrap, dollies, straps, and floor protection are included. These are not small details. They are the difference between a crew that shows up prepared and a crew that makes your belongings an afterthought.

3. Are there extra fees for stairs, elevators, or long carries?

This is where many customers get caught off guard. Apartment complexes in Atlanta can have elevators that require reservations, loading docks with strict hours, parking challenges, and long walks from the truck to the unit. Houses can bring steep driveways, tight turns, and multiple levels.

Ask directly about charges for stairs, elevators, long carries, shuttle service, bulky items, parking, tolls, and after-hours work. If your building requires a certificate of insurance or has a move-in fee, handle that early. The right mover will help you identify building requirements before the crew pulls up.

4. Is there a minimum charge, and how is overtime handled?

A two-hour minimum is common for local moves, but the details matter. Find out whether the minimum includes travel time and whether there is a separate truck fee. Then ask what happens after the minimum is met. Is overtime billed in 15-minute, 30-minute, or full-hour increments?

This is not about trying to squeeze every minute out of the crew. It is about planning a realistic budget. A reliable company will give you a reasonable time range based on your inventory and access, not promise an impossible finish time just to win the booking.

5. Are you licensed, insured, and properly qualified?

Your furniture, electronics, family keepsakes, and business equipment are not practice material. Ask whether the company is licensed and insured for the type of move you need. For interstate moves, the requirements differ from local Georgia moves, so make sure the company is authorized for your route.

Also ask what coverage applies if something is damaged. Basic valuation coverage and full-value protection are not the same thing. Get the explanation in plain English. If a mover becomes vague when you ask about liability, that is a signal to keep looking.

6. How will you protect furniture, walls, and floors?

Fast service should never mean careless service. Ask how the movers handle wood furniture, upholstered pieces, televisions, mirrors, glass, and high-value items. A prepared crew uses moving blankets, shrink wrap, dollies, and proper loading techniques to reduce risk from doorframes to the back of the truck.

If you have an item that needs special care, mention it during the estimate. Pianos, safes, antiques, oversized appliances, server racks, and sensitive office equipment may require additional planning, equipment, or crew members. That can affect the quote, but it is far better to know upfront than to gamble on move day.

7. How many movers and what size truck are assigned?

The cheapest quote is not always the most affordable move. A two-person crew may have a lower hourly rate, but a larger home, heavy inventory, or office relocation can take much longer with too few hands. On the other hand, paying for an oversized crew on a small apartment move may not make sense.

Ask why the company recommends a certain crew size and truck. The answer should connect to your actual move, not a one-size-fits-all sales pitch. Proper staffing keeps the job moving, limits unnecessary trips, and helps your belongings get loaded safely.

8. What is the cancellation, rescheduling, and deposit policy?

Life changes fast. Closings move, leases get delayed, and building elevators break down. Know the policy before you put down a deposit. Ask how much is required to reserve your date, whether it is refundable, and how much notice is needed to cancel or reschedule.

Be cautious if a company demands a large nonrefundable payment without giving you clear paperwork. A legitimate mover should make the booking terms easy to understand.

9. Who is my point of contact on move day?

A quote should lead to a real plan. Ask when the crew will arrive, whether you will receive a confirmation, and who to call if traffic, weather, or access issues affect the schedule. For commercial moves, ask who will coordinate with the building manager and how the team will handle downtime.

Strong communication matters most when the move is urgent. Same-day and next-day availability can be a lifesaver, but it still requires a crew that answers the phone, confirms the details, and shows up ready to go.

10. Can you put the full estimate in writing?

Verbal promises are easy. Written details are what protect your budget. Review the estimate for the company name, service date, addresses, pricing method, included services, potential extra charges, deposit terms, and coverage information.

If something is unclear, ask before you sign. You are not being difficult. You are making sure the mover understands the job and is willing to stand behind the quote.

Red Flags That Should Stop the Booking

A few warning signs deserve your attention. Be careful with movers who offer a price far below every other estimate, refuse to provide written terms, cannot explain their insurance, or pressure you to pay immediately. The same goes for companies that will not ask basic questions about your inventory or access. They cannot quote a move accurately if they do not understand it.

Online reviews can help, but read beyond the star rating. Look for repeated comments about surprise fees, damaged items, missed arrival windows, or poor communication. One bad review can happen to any business. A pattern is different.

Choose the Crew That Is Ready to Earn Your Trust

Moving is already a major life event. You should not have to spend move day wondering whether the truck will arrive, whether your furniture will be protected, or whether the final bill will match what you were told.

At Best Man Movers Inc., the job is approached with urgency, hard work, and respect for the belongings you worked hard to own. Use this checklist, ask direct questions, and choose the mover that gives you direct answers. The right crew will not just give you a number. They will give you confidence before the first box hits the truck.
